Booking Terms and Conditions
Welcome to Adventure Mountain Treks Pvt. Ltd.! Please read the following terms and conditions carefully before booking with us. These terms create a legally binding agreement between you (the client) and Adventure Mountain Treks Pvt. Ltd. (the company). By booking a trek or tour with us, you agree to be bound by these terms and conditions.
Booking:
To secure your booking, you may either complete the online booking process or submit a manual booking form, which will be provided via email upon request
You can make a booking through our website, third-party websites.
1. Payment Policy:
20% advance payment is required for first-time customers to confirm the booking.
15% advance payment is applicable for returning/recommended customers.
The remaining balance must be settled upon arrival in Kathmandu.
2. Cancellation Policy:
As per the company’s rules and regulations, the following cancellation policy applies:
A full refund is provided if the trip is canceled at least before 45 days prior to the scheduled departure. The reason for cancellation must be communicated and acknowledged by our team.
If a client fails to arrive as per the booking schedule and does not inform us in advance, the booking will be considered a "No Show," and no refund will be issued.
If a client decides to discontinue the trip midway due to personal reasons, no reimbursement will be provided.
Additional expenses due to unforeseen circumstances (e.g., bad weather, altitude sickness) will be borne by the client.
3. Travel Insurance:
3.1. All clients must have comprehensive travel insurance that covers personal injury, death, trip cancellations, medical expenses, emergency evacuations (including helicopter rescue), and loss of gear or theft of personal belongings. If the clients becomes ill, all hospital expenses, doctor’s fees and repatriation cost are the client’s responsibility and the company shall not be liable for any refund of the tour cost.
4. Health and Fitness Requirements:
4.1. Clients must ensure they are in good physical and mental health suitable for trekking at high altitudes.
5. Itinerary Changes & Travel Insurance Advisory:
5.1. The company reserves the right to modify the itinerary due to unforeseen circumstances such as weather conditions, natural disasters, or government restrictions.
5.2 Last minute changes in government rules, local Politics, the health of clients, unfortunate incidents, road closures, flight delay/cancellation, and natural disasters (such as Earthquake, landslides, floods, snowfall, avalanches, etc)
5.3 Any additional expenses arising from such events will be the responsibility of the clients. We strongly advise you to have travel insurance when traveling in Nepal.
6. Travel Documents and Permits:
6.1. Clients are responsible for ensuring they have valid passports (with at least six months of validity), visas, and any required documents.
You can obtain a Nepalese visa from the Nepalese Consulate in your home country. Alternatively, you can get a Nepalese visa upon your arrival at Kathmandu Airport. Please note that the cost of the Nepalese visa is your responsibility.
7. Flight delay/Cancellation:
7.1. Flight delays or cancellations are common in mountainous regions due to weather conditions and limited visibility because mountain weather is quite unpredictable.
7.2. We strongly recommend that you plan your trip with at least 1 or 2 extra days, especially for treks in the Everest region. This precaution ensures you won’t miss your international flight due to potential delays
8. Code of Conduct:
8.1. Clients are expected to follow local customs, respect the environment, and comply with the instructions of the guide or trip leader.
9. Risk Acknowledgment:
9.1 Joining our trips involves some risks. These can include injury, sickness, death, or damage to your belongings. Such risks may happen due to travel, physical activity, high altitudes, natural events (like bad weather), or transport problems so all clients must have comprehensive travel insurance that covers.
We do our best to keep you safe and take care of you. But we cannot remove all risks completely.
By booking a trip with us, you understand and accept these risks. You also agree that Adventure Mountain Treks, including our staff, guides, and partners, is not responsible for any injury, death, or loss of personal items during the trip.
10. Use of Photography and videos:
Our guide and staff or photographer may take photos and videos during your trip which the company reserves the right to use those material for any advertising of our business through our website and social media without obtaining further consent
12. Governing Law:
12.1. These terms and conditions are governed by the laws of Nepal. Any disputes shall be settled in the courts of Nepal.
